Operations & Accounts Coordinator

Job Purpose

Coordinate the company’s day-to-day accounts, inventory, logistics, project handovers, procurement, marketplace operations, and showroom administration, ensuring transactions are recorded correctly, projects are operationally prepared, stock is controlled, and all supporting documentation is complete.

Key Responsibilities

1. Accounts

• Manage day-to-day accounting activities in Zoho Books , including sales invoices, credit notes, receipts, outstanding receivables, petty cash, vendor payments, and supplier reconciliations, while responding to billing-related queries and ensuring transactions are recorded accurately.
  
• Maintain complete supporting documentation for sales, purchases, VAT, payments, expenses, and operational transactions in line with FTA record-keeping requirements , ensuring records are properly filed and available for management review or audit.
  

2. Operations

• Manage stock and company assets through Zoho Inventory , including receiving and inspecting goods, recording stock movements, conducting stock counts, monitoring reorder levels, and maintaining accurate records for robots, equipment, spare parts, and other assets.
  
• Handle procurement, logistics, and marketplace operations from requirement to delivery, including quotations, purchase requests, vendor coordination, local and international shipments, courier arrangements, import documentation, and Amazon.ae and Noon orders, returns, refunds, and settlements.
  
• Maintain the operational readiness of the showroom, store, reception, and office by managing supplies, maintenance, repairs, service providers, filing, courier arrangements, and the safe packing, loading, movement, and handling of robots and high-value equipment.
  

3. Projects

• Manage operational preparation for rental and sales projects by confirming delivery schedules, venue access, loading bay requirements, permits, staff and transport documentation, reserving the assigned robot, and ensuring the complete project kit is ready before deployment.
  
• Complete project handover and closure by coordinating rental collections, checking returned equipment condition, verifying authorised recipients for sales, obtaining signed delivery and handover documents, and updating project, inventory, and accounting records after completion.
  

Requirements

• Degree or diploma in Accounting, Finance, Business Administration, Logistics, or a related field.
  
• Experience with Zoho Books and Zoho Inventory is preferred.
  
• Basic understanding of UAE VAT and FTA documentation requirements.
  
• Experience in accounts, stock control, logistics, procurement, project coordination, or related operations.
  
• Familiarity with Amazon Seller Central and Noon Seller Lab is an advantage.
  
• Strong attention to detail, organisation, record keeping, and follow-through.
  
• Good communication and coordination skills with the ability to manage multiple operational activities at the same time.
  
• Comfortable handling both office-based administrative work and practical showroom, stock, and logistics responsibilities.
