The firm is currently seeking an experienced Billing Specialist to join its remote team. This role involves managing high-volume legal billing processes, preparing invoices, handling client billing communications, and ensuring timely and accurate submission of billing records. The ideal candidate will be detail-oriented, organized, and capable of working efficiently in a fast-paced legal environment.

Key Responsibilities:

• Prepare new client files in accordance with billing guidelines and client requirements

• Generate draft invoices based on billing cycles and time entries

• Edit, finalize, and submit invoices through electronic and manual systems

• Manage billing communications via email, e-fax, and postal services

• Track invoices through the full billing cycle until payment is received

• Communicate with clients regarding retainers and outstanding balances

• Maintain accurate billing records and reports for internal review

• Assist with entry and management of billable time records

• Support ad-hoc billing tasks and special projects as assigned

Requirements:

• High School Diploma or GED required; Associate’s Degree preferred

• Minimum 2 years of high-volume billing or law firm experience

• 2–3 years of legal billing experience preferred

• Experience with legal billing software such as ProLaw, Elite, or eBilling Hub

• Strong proficiency in Microsoft Office, especially Excel

• Excellent organizational and time management skills

• Strong attention to detail and accuracy

• Ability to work independently and as part of a team in a fast-paced environment

• Strong knowledge of:

• Legal billing systems and processes

• Invoice preparation and client billing guidelines

• Financial tracking and payment follow-up procedures

• Microsoft Excel and reporting tools

• Law firm billing operations and compliance standards
