Job Description:

Parsons is looking for an amazingly talented Document Controller to join our team! In this role you will get to perform a variety of document control functions for a project or department.

What You’ll Be Doing:

Processes one or more document types through all procedural steps in accordance with well-defined procedures and guidelines. Ensures that pre-established document control requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.

Receives, tracks, and monitors documents using standard document management programs to register documents, maintain databases, and produces logs, transmittals, and other reports as required. Enters data and produces reports using other standard office automation or department-specific computer applications.

Scans documents for electronic storage.

Maintains an established data distribution system and schedule for the assigned project based upon client, project, department, and supplier requirements. Expedites review, signature approval, and release of supplier and internally produced documents.

May perform some clerical duties such as light typing, filing, answering phones, messenger service, etc.

Assists junior document control staff to ensure effective implementation of project-specific procedures.

Contributes as a team player who is deadline driven and works well with others.

Responsible for all issues and services related to the Document Control and Project Document Management.

Electronic scanning of documents for distribution as PDF digital copies to designated recipients and uploading to Management System.

Maintaining a hard copy reference library of all documentation which ensures quick and easy retrieval of information.

Using latest version of Primavera Contract Management (software for controlling and updating the status of Contract Documents.

Prepare and register Correspondences, Reports, Payment Requisition, Variation Order, Site Instructions, Punch List, and NCR using ACONEX.

Track, update the status, and follow up Submittals, Safety Reports, RFC’s, Site Minutes of Meetings, Progress Photographs, Contract Issues, and Drawings.

Producing regular reports of outstanding actions and responses on correspondence through Primavera Contract Management.

Ensuring the use of standardized forms and reports which are available in Primavera Contract Management in coordination with PWA OP&M System.

Performs other responsibilities associated with this position as may be appropriate.

What Required Skills You’ll Bring:

Must be graduate, 5+ years of related work experience, with at least 3-5 years in document controls (or an equivalent combination of formal education and work experience) in Construction or Engineering companies.

Extensive knowledge and experience in document control from the project initiation to close out phases, utilizing computer-based systems (ACONEX/EDMS), within the framework of an integrated project services function for the effective management of a wide range of concurrent projects.

Knowledgeable of document control work processes and utilization of electronic systems for document management, as well as corporate procedures related to document management.

Ability to perform in a lead capacity, excellent written and oral communication skills, and a thorough knowledge of industry practices and company policies and procedures are required.

Must also possess a thorough knowledge of database concepts, project-related software, and the ability to train others in its use.

Good oral and written English language, with good computer skills.
