Project Coordinator Fit-out & Joinery

The Project Coordinator – Interior Fit-Out is responsible for supporting project management activities by coordinating documentation, schedules, procurement, site activities, and communication between internal teams, consultants, clients, suppliers, and subcontractors. The role ensures smooth project execution by maintaining accurate records, tracking progress, and assisting the project team in meeting deadlines, quality standards, and client requirements.

Key Responsibilities:

• Assist Project Managers in coordinating day-to-day project activities for interior fit-out projects.
  
• Coordinate communication between project teams, clients, consultants, subcontractors, and suppliers.
  
• Maintain project documentation including drawings, approvals, reports, correspondence, and meeting records.
  
• Track project progress, milestones, and deliverables to ensure timely completion.
  
• Prepare and maintain project trackers, action lists, and status reports.
  
• Coordinate submission and follow-up of shop drawings, material submittal, samples, and approvals.
  
• Assist in preparing project schedules, meeting minutes, and progress updates.
  
• Coordinate with procurement teams to track material orders, deliveries, and site requirements.
  
• Monitor project requirements and ensure timely communication of updates and changes.
  
• Support site teams with documentation, coordination, and administrative requirements.
  
• Arrange and coordinate project meetings with internal and external stakeholders.
  
• Prepare weekly/monthly project reports for management review.
  
• Maintain records of RFIs, variations, approvals, inspections, and project correspondence.
  
• Assist in project handover activities, including snag lists, completion documents, and closeout records.
  
• Ensure compliance with company procedures and project documentation standards.
  

Requirements

• Bachelor's Degree or Diploma in Civil Engineering, Architecture, Construction Management, Business Administration, or related field.
  
• Minimum 3–6 years of experience as a Project Coordinator in interior fit-out or construction projects.
  
• UAE/GCC experience preferred.
  
• Good understanding of interior fit-out project processes and construction activities.
  
• Ability to coordinate with multiple departments and stakeholders.
  
• Strong organizational and documentation skills.
  
• Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) .
  
• Knowledge of project management software such as MS Project, Primavera, Aconex, Procore, or similar systems is an advantage.
