Key Purpose of the Role:

The Customer Support & Project Coordination Specialist will be responsible for supporting customers from the onboarding stage through to order processing, documentation, and ongoing customer service and act as the key coordination point between customers, contractors, suppliers, site teams, and internal Tate departments.

Key Responsibilities

Support the onboarding of new customers, including collecting required documentation and setting up customer accounts.

Create and maintain customer records in SAP and ensure all information is accurate and up to date.

Receive, review, and process customer orders in line with company procedures.

Coordinate with internal teams to confirm order details, pricing, availability, delivery requirements, and documentation.

Support customers with order status updates, delivery information, invoice queries, and general requests.

Assist project managers with customer-related documentation, order information, status updates, and administrative follow-up.

Maintain customer files, records, order confirmations, delivery notes, invoices, and supporting documents.

Support the preparation and submission of customer documentation, including vendor forms, compliance documents, delivery paperwork, and project-related records.

Follow up with internal departments to ensure customer requirements are handled in a timely manner.

Escalate customer issues, delays, or missing information to the relevant manager or project manager.

Provide professional and timely communication to customers, contractors, and internal teams.

Support continuous improvement of customer support, order processing, and documentation processes.

Assist with document submission requirements, including technical documents, commercial documents, delivery notes, approvals, and project records.

Coordinate with logistics and warehouse teams where required to support material delivery to project sites.

Required Experience & Skills

Minimum 8-10 years' experience in customer support, project coordination, operations coordination, sales support, or order management.

Experience dealing with contractors, suppliers, and customers.

Strong communication and follow-up skills.

Ability to manage multiple projects, orders, and priorities at the same time.

Strong attention to detail and good documentation skills.

Proficiency in Microsoft Office, especially Excel, Outlook, Word, and PowerPoint.

Ability to prepare trackers, reports, meeting notes, and action logs.

Customer-focused mindset with a professional and responsive approach.

Ability to work under pressure and manage deadlines

Preferred Experience

Experience in construction, fit-out, data centers, MEP, infrastructure, manufacturing, or technical supply environments.

Experience coordinating deliveries, site requirements, contractor activities, or project documentation.

Familiarity with materials such as raised access flooring, containment systems, cages, ceilings, or data center fit-out products would be an advantage.

Experience using ERP, CRM, or project tracking systems would be beneficial.
