Description:

Orbital Engineering, Inc. is seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to its leadership team. This remote position requires excellent communication, time management, and problem-solving abilities to ensure smooth coordination of executive operations.

The successful candidate will support multiple executives by managing schedules, communications, meetings, travel arrangements, reports, and confidential information. This role is ideal for an experienced administrative professional who can work independently, manage competing priorities, and maintain strong relationships with internal and external stakeholders.

Key Responsibilities:

• Provide administrative support to senior executives, including calendar management, meeting coordination, correspondence, and follow-ups.

• Arrange domestic and international travel, manage travel budgets, and coordinate virtual or in-person meetings.

• Prepare and edit professional documents, spreadsheets, reports, presentations, and business correspondence.

• Manage executive calendars, resolve scheduling conflicts, and coordinate leadership communications.

• Handle confidential information with professionalism and discretion.

• Support project management activities, task tracking, and initiative completion.

• Coordinate client and employee engagement events.

• Manage vendor coordination for maintenance and repairs related to company properties.

• Act as a liaison between executives and internal or external stakeholders.

• Provide excellent customer service and ensure timely resolution of issues.

Requirements:

• Minimum 5 years of experience as an Executive Administrative Assistant.

• High school diploma or equivalent required.

• Strong ethical standards with the ability to build trusted professional relationships.

• Expert knowledge of Microsoft products, including Word and Excel.

• Experience with data analysis, financial reporting, data inventory management, or program auditing.

• Ability to manage multiple complex assignments and competing priorities.

• Strong organizational skills with excellent attention to detail.

• Ability to work independently with minimal supervision.

• Experience supporting senior or executive-level leadership.

• Must successfully complete required post-offer testing as per company policies.

Preferred Qualifications:

• Bachelor’s degree from an accredited institution.

• Experience working in a corporate matrix organization.

• Background supporting executives within industrial sectors such as oil & gas, construction, chemical manufacturing, mining, utilities, power generation, or engineering services.
