Overview

• Live document register and version-control log.
• Document request tracker and source material index.
• Meeting agendas, minutes, action notes and decision records.
• Workshop notes, synthesis reports and output summaries.
• Updated action tracker, decision log, RAID log and feedback log.
• Draft sections of the current-state / gap analysis document.
• Draft sections of the pathway design pack, AT / AAC assessment, KPI framework and validation summary.
• Consolidated DoH feedback matrix with action status.
• Clean formatted versions of all client-facing deliverables.
• Final submission folder containing editable and PDF versions of approved deliverables.
• Close-out document pack, including final trackers, feedback log and archived superseded materials.

Responsibilities

• Maintain the project document register, version control and file naming discipline across SharePoint.
• Manage document templates, formatting, headers, footers, version history and document status.
• Support preparation of agendas, minutes, action logs, decision logs and workshop output notes.
• Act as workshop scribe, capturing key discussion points, decisions, actions, risks and scope-control items.
• Convert workshop notes into clear, structured synthesis notes for use in project deliverables.
• Support drafting of the current-state / gap analysis, pathway design pack, validation summary, final report and DoH presentation.
• Maintain the document request tracker and follow up on outstanding DoH documents, data and source materials.
• Maintain the feedback log and ensure DoH comments are tracked, categorised and closed out.
• Ensure out-of-scope items are recorded in the scope-control / parking lot log and not absorbed into deliverables without approval.
• Coordinate document review cycles, ensuring internal QA comments and DoH feedback are incorporated accurately.
• Prepare clean client-facing versions of documents in editable and PDF formats.
• Archive superseded drafts and maintain a clear audit trail of document changes and submissions.
