Operations Coordinator

About the Role

We are looking for a proactive and highly organized Operations Coordinator to support the effective delivery of our operational projects.

In this role, you will coordinate project administration, employee and subcontractor documentation, staff readiness, procurement requirements, operational resources, and reporting. You will work closely with Operations and key support functions including HR, Training, Purchasing, Finance, Logistics and IT.

This position requires someone who takes ownership , follows up proactively, and ensures actions are completed rather than simply passed on to others.

Key Responsibilities

• Maintain project records, employee registers, trackers and SharePoint information.

• Coordinate employee and subcontractor documentation and monitor expiry and renewal requirements.

• Track training, medical, licence, qualification and site-access requirements to ensure operational readiness.

• Coordinate requirements between Project Operations, HR, Training, Purchasing, Finance, Logistics, IT and other departments.

• Support employee mobilisation, transfers and demobilisation activities.

• Assist with purchasing requirements and provide supporting information for PR and PO processing.

• Track critical procurement requests and operational resources including PPE, uniforms, equipment, vehicles and IT requirements.

• Maintain accurate operational data, action trackers and project information.

• Support management reporting, dashboards and KPI tracking.

• Proactively follow up outstanding actions through to completion.

• Identify and escalate risks, delays, documentation gaps or issues that may affect project delivery.

• Support coordination with subcontractors, clients and other external stakeholders as required.

What We're Looking For

• Diploma or bachelor’s degree in Business Administration, Operations, Project Administration , or a related field, or equivalent relevant experience.

• Previous experience in operations coordination, project administration or a similar role .

• Experience working in a project-based or manpower-intensive environment is preferred.

• Exposure to procurement coordination, employee documentation and subcontractor administration would be an advantage.

• Strong organizational and administrative skills with excellent attention to detail.

• Ability to coordinate multiple stakeholders and priorities.

• Strong communication and interpersonal skills.

• Proactive approach with a strong sense of ownership and follow-through.

• Good practical problem-solving and reporting skills.

• Good working knowledge of Microsoft Office and SharePoint .
