Join the Ali & Sons Group as a Receptionist, where you'll play a key role in managing communications, welcoming customers and visitors, and providing essential administrative support to ensure an outstanding customer experience.
Key Responsibilities
- Professionally manage incoming, outgoing, and inter-office telephone calls through the switchboard system.
- Respond to inquiries and provide accurate information to customers, visitors, and employees.
- Direct calls to the appropriate departments and maintain efficient call handling procedures.
- Welcome customers and visitors, ensuring they receive a warm, professional, and positive experience.
- Assist visitors by providing directions, information, and relevant materials as required.
- Maintain the reception area to ensure it remains clean, organized, and presentable at all times.
- Ensure the timely distribution of incoming and outgoing mail and correspondence.
- Monitor telephone bills and allocate personal calls to the appropriate individuals.
- Perform general administrative duties including filing, photocopying, typing, data entry, and record maintenance.
- Prepare and maintain files, records, and documentation as required by the department.
- Support office operations by assisting with travel arrangements, meeting coordination, and visitor hospitality when required.
- Communicate any operational concerns or challenges to the Service Manager.
- Carry out additional administrative and reception duties as assigned by management.
Role Purpose
To provide professional front-line reception and communication services while ensuring visitors, customers, and employees receive exceptional support. The role also contributes to the efficient administration and day-to-day operations of the After Sales Services department.
What We're Looking For
- Experience: Minimum 2 years of experience in a receptionist, front desk, customer service, or similar administrative role.
- Education: Diploma or Degree in any discipline.
- Languages: Fluency in English is essential; Arabic language skills are preferred.
- Software Skills: Computer literacy and proficiency in standard office applications.
- Personal Attributes: Excellent communication and interpersonal skills, strong organizational abilities, professional appearance, and a customer-centric mindset.
