Our company is looking for a Operations Assistant to join our team.

Responsibilities:

  • Ensure staff submit weekly pipelines;
  • Draw up presentations and proposals on behalf of operations manager;
  • Any other office administration duties reasonably expected in the ordinary course;
  • Keep on top of installation and maintenance schedules;
  • Implement and maintain procedures and administrative systems i.e. client agreements (SSRF) and submission of expenses;
  • Submission of service tickets to and from clients and accounts departments;
  • Distribution of calendars and refill schedules;
  • Maintaining and updating office files;
  • Raises personnel issues to the HR Dept. of the Company for proper action;
  • Ensures that purchase orders are scheduled in a timely and efficient manner;
  • Provides pricing and stock availability updates to the sales team and the respective merchandising departments of business partners;
  • Supports the sales team and business partners by relaying service related concerns to the service department for quick immediate action;
  • Monitors and handles the sales personnel’s performance and specific branch concerns that may be raised by the store;
  • Generates office memorandums (promotions & updates) and ensures that these are properly implemented;
  • Coordinates all requests of internal / external meetings.

Requirements:

  • Must be able to work as a team;
  • Strong business acumen;
  • Customer Service;
  • Experience in procurement is a plus;
  • Communication skills;
  • Strong communication skills both verbal and written;
  • Proficient in Microsoft Office applications;
  • Can do Sales Report;
  • Customer Service, Multi-tasking and Critical Thinking are required;
  • Must be able to do field work (only as needed);
  • With at least 1 year work experience in a related field;
  • Scheduling;
  • Experience working with foreign companies in a customer service capacity (preferably Australian);
  • Closing Skills, Motivation for Sales, Sales Planning, Territory Management, Prospecting Skills, Persistence, Meeting Sales Goals;
  • Must be fluent in English as a verbal and written language.
